This website (claritycounsellingvic.com) is operated by Sarah Cotillon, trading as Clarity Counselling Victoria, a counselling practice based at 240 Albert Road, South Melbourne VIC 3205, Australia. This policy explains how we collect, use, and protect personal information when you visit this website or contact us through it.
Information we collect
When you use the contact form on this site, we collect the information you choose to provide: your name, email address, phone number (optional), the topic of your enquiry, your message, and your preferred language. This website does not use cookies, analytics, or tracking technology to collect information about you automatically.
How we use your information
We use the information you provide solely to respond to your enquiry and, if you choose to become a client, to provide counselling services to you. We do not use your information for marketing, and we do not sell or rent it to anyone.
Health information
Because some enquiries relate to counselling for anxiety, trauma, grief, or other personal matters, the information you share with us may be considered health information under Australian and Victorian privacy law. As a health service provider, Clarity Counselling Victoria is bound by the Australian Privacy Principles under the Privacy Act 1988 (Cth) and the Health Privacy Principles under the Health Records Act 2001 (Vic), regardless of the practice's size. We treat this information with the same care and confidentiality that applies to all client health records.
Who we share it with
We use Formspree, a third-party form processing service, to receive and deliver contact form submissions to Sarah's inbox, and Cloudflare Turnstile to help prevent automated spam submissions. Both providers process this data on our behalf and have their own privacy and security practices. We do not share your information with any other third party, except where required by law or, in a genuine emergency, to protect your safety or the safety of others, consistent with a counsellor's professional and ethical obligations.
International data transfers
Formspree and Cloudflare operate internationally, so your enquiry data may be processed outside Australia and, if you are located in the European Union or European Economic Area, outside the EU/EEA. If you are an EU/EEA-based visitor, please note that data protection standards outside the EU/EEA may differ from those under the GDPR. We take reasonable steps to use service providers with appropriate data protection commitments, but if you have concerns about this, please contact us before submitting the form.
How long we keep it
We keep enquiry data only for as long as needed to respond to you, unless you become a client. If you become a client, your records are retained in line with professional counselling record-keeping obligations under Victorian health records law, which is longer for clients who were minors at the time of treatment.
Your rights
You have the right to ask for access to the personal information we hold about you, to ask us to correct it if it's wrong, and to make a complaint if you believe we've mishandled your information. In Australia, complaints can be made to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au. If you are based in the EU/EEA, you also have the right to lodge a complaint with your local data protection authority.
Cookies and similar technologies
This website does not use cookies for tracking or analytics. It uses your browser's local storage only to remember your language preference (English or French). This stays on your device and is never sent to us.
